It’s that time of the year again. Assessments have been done, students have been monitored, and it’s time to meet with parents to let them know how their child is doing. Fear not! In this post, you will find some helpful tips to make sure your parent-teacher meetings are a success!

Setting the Stage for Your Parent Teacher Meetings

Preparing for parent-teacher conferences is like setting the stage for an important event. The first act? Crafting your schedule. Here are some tips:

  • Invitations- Start by inviting parents to sign up for a conference well in advance, ideally 4-6 weeks before your conference week. First, pinpoint the dates and times you’ll hold these crucial meetings. If you’re planning back-to-back conferences, don’t forget to carve out a little breather time in your schedule for water, a snack, and bathroom breaks! And, here’s the big question: in-person, virtual conferences, or a mix of both?
  •  Invitation Method- There are multiple ways to extend these invitations. You can tuck them into students’ homework or communication folders as printed notices. Alternatively, use the speed and convenience of email or a sign-up app like Sign Up Genius. To add that final touch, it’s super helpful to set a deadline for parents to sign up, allowing you to fine-tune your schedule.
  • Reminders-A week before your parent teacher meeting, it’s time for a friendly reminder to families. This reminder can take the form of a printed notice or a well-timed email. For virtual conferences, be sure to include the essential meeting link.
  • Schedule- Once all your families have signed up for a conference, you will want to print a copy of our final schedule. If you have parents who still have not signed up, you can assign them a date and time slot to ensure no one misses out on this important meeting.

Student Assessment

The purpose of a parent teacher meeting is to review student progress. But first, let’s set the stage by determining the data we’ll unveil:

  • Gather data-You can use assessment scores, classwork, and observations as data that you present to parents and guardians. Don’t forget to sprinkle in those work samples, the real stars of the show!
  • Talking Points-It is helpful if you have specific talking points you want to share for each student. It’s like having a treasure map to navigate through the conference. 
  • Conference Form-Having a conference form is a game changer! It’s not just a piece of paper; it’s your secret weapon to stay on track and ensure no detail goes unnoticed. Plus, it can double as your trusty agenda for each conference.

Conducting Effective Parent Teacher Meetings

  • Location- Let’s talk location! You will need to decide where you will have your parent teacher meeting. A cozy small-group table often does wonders. And don’t forget to arm yourself with a printed schedule; it’s your handy timekeeper!
  • Materials-Before the meeting, gather your supplies. It is helpful if you have conference folders. Consider conference folders as your sidekick. Inside, you can include any materials and student work you want to share. Keep those pens, sticky notes, and a trusty timer within reach for a seamless experience.
  • Agenda-Having an idea in mind about what you want to discuss will help you avoid any awkwardness or moments that send you off track. The conference form is the secret sauce here that can serve as your agenda. 
  • Warm Welcome-Remember that being punctual and wearing a welcoming smile sets the stage for families entering your classroom. Always try to begin your meeting on a positive note.

After Your Parent Teacher Conference

  • Resources and tools-Don’t let the magic fade! Ensure you share valuable resources and tools with parents, empowering them to become active supporters of their child’s learning journey.
  • Follow up- Keep the connection with families strong by sending a follow-up note via class newsletter or email.  Let families know how nice it was to meet them and that you are looking forward to partnering with them in their child’s learning this year!
